Executive Assistant

TPD's client is a non-profit organisation based in Downtown Vancouver, they are looking to hire an Executive Assitant to join the team on a contract basis with the possibility of a permanent position for the right candidate. 


Key responsibilities include:

  • Acting independently with a high level of professionalism, confidentiality, judgement and discretion
  • Maintaining busy calendars for 3 directors, including arranging group meetings with large groups and managing their schedules
  • Scheduling and rescheduling appointments
  • Organizing and booking travel arrangements 
  • Preparing correspondence, reports, presentations and spreadsheets
  • Editing and proof-reading communications 
  • Providing relevant material prior to all meetings and minute taking
  • Expenses coordination and inputting
  • other adhoc duties as required


What will help you succeed:

  • Over 5 years experience as an Executive Assistant or Senior Administration Assistant
  • Experienced in calendar management
  • Intermediate Excel, Word, and PowerPoint skills
  • Experience with a shared drive or system
  • Excellent organisational skills with an attention to detail
  • Exceptional interpersonal and communication skills with strong editing and proof-reading capabilities
  • Demonstrated ability to prioritise in a changing environment
  • Proven ability to exercise confidentiality, tact and discretion
  • Ability to deal with various stakeholders
