Public Relations Admin Coordinator

Our client's refinery is a modern 55,000 barrel per day refinery located in Burnaby,
BC. Their facility supplies a significant portion of southwestern BC’s gasoline, diesel and jet fuel.
The facility is also transitioning to accommodate production of low-carbon fuels and is an industry
leader in this space.


This role supports the Policy and External Relations (PER) team with their efforts in public
relations, policy development, government relations and stakeholder engagement in Burnaby for Burnaby related public relations issues. 

 

Key Responsibilities:

  • Administration
  • Event planning
  • Internal communications

Duties:

  • Support the refinery’s Social Investment program functions and processes (vendor and invoice management, coordinating in-kind donations and maintaining stock)
  •  Support execution of internal and external meetings and events including scheduling, site logistics, volunteer and material sourcing
  • Support implementation of refinery’s Tour Program for external stakeholders
  • Create and maintain internal filing system including Records of Contact for PER team within shared corporate drive
  • Support public communications including monitoring the refinery’s Community Contact Line, coordinating meetings and developing printed communications
  • Support refinery social media and internal intranet presence
  • Attend external events as a company representative, as required
  •  Act as Unit Assistant within the Incident Command System’s Public Information
  • Office during emergency response drills and in the unlikely event of an actual emergency


Qualifications and Skills:

 

  • University degree in Communications, English, Art or related field and minimum on years’ work experience in an office environment
  • Demonstrated experience with MS Office Suite (particularly MS Word, PowerPoint and Excel)
  • Experience with Microsoft SharePoint
  • Ability to liaise with internal and external stakeholders and maintain a positive, empathetic and professional attitude in all situations
  • Ability to prepare and maintain records, reports, correspondence and related material
  • Ability to establish and maintain effective organizational relationships with a variety of internal and external contacts
  • Ability to coordinate production and delivery of a variety of communications material
  • Ability to prioritize work and meet deadlines
  • Self-motivated and effective individually and in a team setting
