Administrative Assistant / Receptionist

This position is responsible for a portion of and/or all reception and office administration related to Trinity Power Rentals.

 

What you will be doing

 This position provides Trinity Power customers with a timely, professional first impression of the companies by:

  • Answering customer telephone calls and greeting incoming visitors in a professional manner;
  • Directing callers and visitors to the appropriate person;
  • Creates and transcribes correspondence using Word or e-mail, ensuring tone is professional and proofing for accuracy;
  • Maintains a smooth and accurate flow of paperwork;
  • Organizes, maintains and continually improves office filing system;
  • Ensures there is an adequate quantity of office supplies on hand by keeping track of stock, ordering office supplies, putting supplies away and keeping the supplies organized;
  • Coordinates travel arrangements;
  • Perform office duties such as photocopying, faxing and preparation for meetings;
  • Organize and communicate with the Support Centre cleaning staff;
  • Monitor and manage the SWAG at all branch locations;
  • Send out company wide announcements for work anniversaries and birthdays;
  • Assisting the Sales team with Salesforce (CRM) data entry;
  • Assisting with the organization of Sales Events such as Tradeshows and golf tournaments;
  • Supports the companies’ team with various other duties, as required and within the parameters of the job;

What you bring to the table

 

  • High school diploma
  • Excellent organizational, time-management, administrative and computer skills
  • Excellent oral, written and communication skills
  • Able to work closely and cooperatively with all members of the company, consultants and extended team members as well as vendors
  • Attention to detail
  • Exceptional phone manner and conversational skills
  • Intermediate to advanced skills in Outlook, Word, Excel, Simply Accounting and QuickBooks
  • Background in Customer Service considered an asset
  • Possession of a valid B.C licence is preferred
