Office Administrator

Our client has an exciting opening for an Office Administrator with strong written and verbal communication skills to join their expanding team. This is an excellent position for those who are looking to join a reputable company that offers great training in many departments!


Reporting directly into the customer service department, the Administrative Assistant is responsible for providing front desk reception and customer service support.

Calgary, Alberta


  • Providing front desk reception and customer service assistance, including answering phones as well as receiving and directing visitors/customers.
  • Assisting with the drafting of letters, memorandums, reports, spreadsheets as well as document management (including tracking and filing of documentation).
  • Assisting with Accounts Payable/Receivable, including the tracking and processing of employee expenses.
  • Receiving and sorting mail and deliveries as well as preparing and organizing outgoing mail and shipments.
  • Coordinating meetings and organizing catering, coffee or other refreshments as needed.
  • Monitoring and maintaining office equipment and supplies as needed (including office, kitchen and restroom supplies).
  • Tidying and maintaining all common office areas, including kitchen cupboards, counters, sink and refrigerator and loading and unloading the dishwasher every day.
  • Coordinating with building/property management and others to deal with maintenance issues for general repair and updates.
  • Checking and stacking paper in the printer and clearing the shredder.
  • Maintaining and watering office plants/flowers.
  • Any other duties as requested and required.


  • 5+ years related experience in an administrative assistant role.
  • Undergraduate degree or diploma in an Office Administration program.
  • Advanced Microsoft office skills; including, Word, Excel, Outlook and PowerPoint.
  • Self-directed  with the ability to complete projects with limited supervision.
  • Excellent verbal and written communication and presentation skills. 
  • Ability to operate with discretion and maintain confidentiality.
  • Attention to detail with an ability to meet time sensitive deadlines effectively.
  • Ability to manage multiple priorities simultaneously and problem solve effectively.


This is a full time position that will require flexibility for  evening and weekend support.  Hours per day / week may fluctuate depending on administrative requirements.
