Executive Assistant - 12 month contract

 Our client, a well known, large BC owned/operated organization on the North Shore, is currently looking for an Executive Assistant to join them on a 12 month contract.

Full-time hours (Monday-Friday, 8am - 4pm) with excellent compensation.



  • Anticipates the Vice President’s and Director’s administrative needs and pro-actively takes appropriate action. Prepares summaries or weekly reporting for the assigned departments. Prepares correspondence, presentation materials, meeting minutes, reports independently and/or as directed.
  • Sets up and maintains tracking systems to improve workflow and effectiveness.
  • Arranges meetings and conference calls, develops administrative procedures, reviews and summarizes documents, orders office supplies. Schedules, makes travel and accommodation arrangements, and handles administrative components of projects.
  • Coordinates communications to internal employee groups and external news releases.
  • Performs administrative support for functional SharePoint sites, databases and company website, as well as uploading and maintaining control documents and calendar of update requirements.
  • Provides support for requisitioning budgeted items, invoice tracking, department spend tracking and follow up. Provides budget assistance to the group by running or reviewing required reports and accurately pulling information from systems. Tracks project spend and reports statuses and maintain risks registers, as assigned.
  • Coordinates record management for all departments, including organizing record storage, retrieval, and destruction, as well as educating department personnel on how the record management program works.
  • Provide assistance for administrative and logistical requirements for event planning, coordinating marketing materials and tracking promotional items.
  • Other duties, as assigned.



    • Completion of Grade 12 education, plus post-secondary courses relevant to executive administration.
    • A minimum of 5 years Secretarial/Executive Assistant experience in a corporate office environment.
    • Proactive self-starter who is comfortable in a fast-paced environment
    • Excellent organizational, prioritization, time management and multi-tasking skills
    • Excellent communication, both verbal and written, and interpersonal skills
    • Accuracy and a keen attention to detail
    • Excellent proficiency in Microsoft Word, Excel, Power point, SharePoint and Outlook. Some report writing and database experience is desirable
    • Certain basic accounting knowledge is beneficial
    • Basic knowledge of graphic design software (i.e. Adobe InDesign or Photoshop) would be considered an asset.
